Alternative Exam Delivery (AED) Event Sponsor Guidelines

GBCI provides alternative delivery options for professional exams where Prometric centers are inaccessible.

Review the following guidelines before applying to sponsor an alternative testing event. Begin by choosing the delivery option that best suits your group’s needs.

Computer lab delivery

For groups of students or professionals who wish to take a GBCI exam within their own campus or office computer lab. Promoted in regions where Prometric test sites are unavailable or situations where mobilizing a group of candidates is logistically impractical. Requires up-to-date computers for each tester and high-speed internet connection.

*GBCI requires a minimum number of seats to be filled in order to conduct an alternative delivery event. If the minimum number of candidates is not met, additional fees may apply — please contact GBCI.

Guidelines

Participation
  • Sponsor agrees to confirm the required minimum number of candidates for the event. Sponsor must notify GBCI no later than 30 days prior to the event date if minimum is not confirmed; please note that additional fees may apply.
  • If space limitations prevent all candidates from testing simultaneously, permission to host multiple sessions will be evaluated by GBCI on a case by case basis.
  • Sponsor agrees to provide a final roster of registered candidates for the AED event no later than 30 days before the scheduled test date.
  • If Sponsor fails to submit the roster of registered test candidates at least 30 days prior to the scheduled test date, the sponsor will be subject to any fees incurred by GBCI and/or cancellation of the event at GBCI’s discretion.
  • ALL candidates must have an existing USGBC/GBCI site user account and a completed exam registration prior to their inclusion on the final roster.

Candidates must register for the exam prior to the submission of the final candidate list. This involves the creation of a site user account, registration for the desired exam, and payment via credit card (if applicable).

Testing facility
  • Sponsor agrees to secure - at no cost to GBCI - a well-ventilated and illuminated computer lab for the delivery of the exam.
    • The exact location of the test site must be provided at the time of submission.
    • Computers must be separated such that candidates cannot view each other’s screens. If computers cannot be separated to prohibit peripheral view by others, dividers must be placed between work stations.
    • The room must be in an area where distractions are minimal if not totally eliminated (Away from kitchens, laundry rooms, major walkways, band/music rooms, and athletic areas).
    • Restrooms should be near the testing room and on the same floor. A separate room for storage of personal effects such as bags and coats must be provided. Candidates will not be allowed to take anything into the testing room.
    • Access to the test site should include free parking, if possible, and be near public transportation if in a city center.
  • Technology
    • Sponsor agrees to review the Technical Configuration Requirements and Guidelines and ensure that the proposed computer lab meets or exceeds the stated requirements.
    • Sponsor agrees to provide the results of an internet connection speed test performed at the proposed computer lab. Please perform the test at www.speedtest.net and provide the upload and download speeds in the AED Event Application.
    • PC lab must have separate station for the test administrator (proctor). This station must have access to a printer for printing candidate score reports. Score reports must be provided to each candidate at the conclusion of his or her exam.
    • Prometric staff will need to schedule a visit ahead of the scheduled exam date to install required exam software and prepare the computer lab. Please indicate your preferred date for the visit to occur in the AED Event Application.
  • The space where the exam is to be administered must be reviewed by GBCI and Prometric to ensure security, consistency, and fairness to candidates.
    • Sponsor agrees to provide three to five (3-5) photographs of the test site so that GBCI can verify the above logistics. Please provide within the AED Event Application.
    • Review the testing room diagram below and provide the requested dimensions (A,B,C,D,E,F) in your AED Event Application.

Technical configuration requirements & obligations

Use the following technical configuration requirements and guidelines to prepare your computers and network to administer exams. This information applies to computers running all components of the testing system

You may require assistance from the local technical staff at your test center to implement these computer and network configurations. Contact your readiness agent for any questions or concerns regarding the information below:

Computer requirements

  • Testing machine:
    • Processor 2.33GHz or faster x86-compatible processor
    • RAM 1GB
    • HDD Space 1GB of free space
    • Monitor screen resolution of minimum 1024x768 is required, with screen size ranging from 19 to 24 inches.
    • Graphics card with at least 128 MB of memory
    • Exam display as per screen size:
      • Screen size 19 to 21 inches will show exam in the entire screen
      • Screen size 20 to 24 inch will show in the middle with one black bar on each side
    • Note: Thin Client and Virtual Machine are not supported.
    • Two-button mouse
    • English keyboard
    • Printer is only required for roster/sign-in sheets; it's not needed for each workstation
    • Internet connectivity:
      • A high-speed wired internet connection
      • WAN Communication: All test delivery computers MUST have broadband Internet connectivity. Each computer may utilize up to 50 Kbps of Internet bandwidth.
    • Operating systems:
      • Windows 7 (32bit or 64bit)
      • Windows 10 (32bit or 64bit)
      • Microsoft .NET Framework 4.5.2 or greater.
      • Note: Operating systems should be installed in English only.
    • Browser:
      • Internet Explorer 9 to 11.
      • Note: “edge” browser is not supported.
      • Browser must be capable of displaying PDF documents, i.e. Adobe Reader must be installed.
      • Latest version of Adobe Flash Player. This needs to be the ActiveX version of Flash, i.e. installed from Internet Explorer.


    Administrative privileges

    Administrative privileges are required to install and update Satellite Launcher client.

    Desktop security systems, such as Centurion Guard, Deep Freeze, Drive Shield, Clean Slate, Fortress, and similar products, control which software can permanently reside on the computer hard drive by erasing a software installation after a system reboot or at a scheduled time.

    These such security configurations must be disabled on computers used for testing. Not disabling such security configurations will result in loss of candidate test responses.

    • Power options: All test delivery computer’s power schemes must be configured so that the hard disk and monitor stay on, and the systems do not go into hibernation or standby mode.
    • Desktop screen savers: All test delivery computer’s desktop screen savers must be disabled.


    Network firewalls

    Test centers that access the Internet via firewalls or proxy servers should ensure:

Day of exam
  • GBCI will coordinate with Prometric to deliver the alternative exam at the time and location specified by the Sponsor.
    • Prometric proctors will be the official administrators of the exam and will be the only non-candidate staff allowed in the testing room during the exam.
    • All candidates must test at the same location and at the same time, unless additional exam sessions are requested.
    • Although the exam itself is 2 hours, the actual seat time will be 2.5 hours to cover all the administrative activities that must occur. Candidates should arrive promptly at the designated test time and any candidate that is late will NOT be permitted to test. No exceptions.
  • The security of the exam is our utmost concern. As such:
    • Candidates must follow ALL of the procedures that are outlined in the Candidate Handbook including rules regarding personal identification.
    • Candidates must follow the directions of the Prometric proctors at all times.
    • Candidates are not allowed to bring anything into the testing area (e.g. no beverages, reference material, mobile phones, smartwatches, etc.).
      1. A pencil and sheet of paper for note-taking will be provided to each candidate at the beginning of the test session and will be collected at the end.
      2. Candidates will have access to an on-screen calculator during the exam.
      3. Candidates will not be allowed to leave with notes or anything from the test session.
  • Only candidates listed on the final roster will be permitted to test. No walk-ins or exchanges will be accommodated.
  • Representatives from the Sponsor organization must be at the test site on the day of the exam, but may not be in the testing room while the exam is being administered.
Deadlines & obligations
  • In order to ensure the AED event will be delivered successfully, the Sponsor agrees to submit the required documentation to GBCI according to the following deadlines:
    • GBCI AED Event Application: Submit 80 days prior to test date.
    • Final Roster: Submit 30 days prior to test date
    • Check that candidates are correctly registered prior to the Final Roster due date. Sending a reminder email and the link to the Alternative Exam Delivery FAQ page, to all candidates 1-2 weeks in advance of the Final Roster due date is recommended. Be sure to remind candidates that they must notify you (Sponsor) once they have completed their exam registration.
  • GBCI reserves the right to charge the Sponsor for any fees incurred due to postponement or cancellation if request is made less than 30 days before the scheduled AED event date.
    • This includes failure to confirm the minimum number of candidates for the AED event.
    • Please remember, the Sponsor organization is responsible for any unpaid candidate exam fees for participants listed on the final roster, including no-shows on day of exam.

AED event will be subject to cancellation by GBCI if the Sponsor fails to meet the above deadlines and obligations.

In addition to the published exam fee, there is a non-refundable $17 seat reservation fee per candidate. For more information, please contact GBCI.

Guidelines

Participation
  • There is no minimum number of candidates required for Test Center Reservations, but dates and times are subject to availability.
  • Sponsor agrees to provide a final roster of registered candidates for the AED event no later than 30 days before the scheduled test date.
  • ALL candidates must have an existing USGBC/GBCI profile and a completed exam registration prior to their inclusion on the final roster.
  • If Sponsor fails to submit the roster of registered test candidates at least 30 days prior to the scheduled test date, the sponsor will be subject to any fees incurred by GBCI and/or cancellation of the event at GBCI’s discretion.
Testing facility
  • Exams will be delivered at the Prometric Test Center most convenient for your group.
    • You will have the opportunity to specify your preferred test center in the AED Event Application.
  • Candidates should expect the same testing experience as any other GBCI candidate who registers individually.
Day of exam
  • GBCI will coordinate with Prometric to secure seat reservations for the requested number of candidates.
    • The average test center has 15 testing stations but some may have 30 or more. If your group exceeds the capacity of the test center, candidates will likely be divided into multiple testing sessions.
    • Although the exam itself is 2 hours, the actual seat time will be 2.5 hours to cover all the administrative activities that must occur. Candidates should arrive promptly at the designated test time and any candidate that is late will NOT be permitted to test. No exceptions.
      • If your group is scheduled for 2 test sessions, or if individuals in your group are sitting for a composite exam, please plan for the event to last up to 4.5 hours.
  • The security of the exam is our utmost concern. As such:
    • Candidates must follow ALL of the procedures that are outlined in the Candidate Handbook including rules regarding personal identification.
    • Candidates must follow the directions of the Prometric proctors at all times.
    • Only those candidates listed on the final roster will be permitted to test. No walk-ins or exchanges will be accommodated.
